To ease the creation of all your units in Prempoint, you may import them. Import takes a CSV file that was exported from your property management software and creates all the units based on that information.
To import your units:
- In your property management software, export all your units to be managed in Prempoint to a CSV file.
- At a minimum, the CSV must contain columns for "Unit Name" and "Address". However, it is better to separate address into the following columns: "Unit Name", "Street Address", "City", "State", and "Zip".
- The following optional columns can be present in your CSV:
- Latitude: This helps fine tune the location, but is not necessary if you have a proper address.
- Longitude: This helps fine tune the location, but is not necessary if you have a proper address.
- Tags: You can add tags to your units to make it easier to search for specific units. For example: "3BR", "2BA", etc
- Cover Photo: The value in this column is a web URL to an image that you would like to be used as the cover photo for the unit. This must be a URL that is accessible without having to sign in to any system. Many users have the same URL for all the units, however if you have individual pictures of each unit, you are free to have different URLs per CSV row.
- Residents: This column contains a comma-separated list of resident email addresses. These email addresses will receive an email invitation to join Prempoint and have access to the unit.
- Managers: This column contains a comma-separated list of manager email addresses. These email addresses will receive an email invitation to Prempoint and they will be added as managers (not admins) to your group. PLEASE NOTE: If you plan for all your group members to be admins, there is no need to add them as managers to individual units since they'll already have access to everything.
- Latitude: This helps fine tune the location, but is not necessary if you have a proper address.
- Here are a couple examples of CSV files:
- This CSV file has the address separated into street, city, state, and zip columns. This is the preferred format: unit_import_example1.csv
- This CSV file has address all in one column: unit_import_example2.csv
- This CSV file has the address separated into street, city, state, and zip columns. This is the preferred format: unit_import_example1.csv
- At a minimum, the CSV must contain columns for "Unit Name" and "Address". However, it is better to separate address into the following columns: "Unit Name", "Street Address", "City", "State", and "Zip".
- Now that you have the CSV generated from step 1, you can import it into Prempoint. To get to the import page you navigate to the Units page, click the green "Add Unit" button, then click on "Import Units CSV" at the top right. Or you can go directly to the import page here.
- Click the green "Select" button and select the CSV file you exported in step 1 above.
- Map the CSV columns to our Prempoint fields by clicking the dropdown in the "Columns" side and selecting the proper CSV column that maps to the "Belongs to" side. Not all "Belongs to" need to be mapped, but at a bare minimum "Unit Name" and "Address" do.
- Click the orange "Import" button at the bottom and click "Yes" in the confirmation dialog if all looks good.
Once you've submitted the import, it will take the system a few minutes to get all the units imported. You will receive a notification when it completes. In the meantime you can go to the web console Dashboard and refresh periodically to see how many units from the import have been completed.
NOTE: If you make a mistake and need to delete all the units imported, visit the import page again and you should see a red link towards the top. Click on that to delete the most recent import.
